Project SAPPhire update - April 2025

CFA’s new cloud-based Enterprise Resource Planning (ERP) system SAP4HANA is going live on 2 June 2025.

 

Facilitated under Project SAPPhire, CFA continues to build, develop and test the future of CFA’s finance, procurement, supply chain, sales and Infrastructure Services systems, SAP4HANA.

Some key changes to look forward will be beneficial to volunteers and staff.

Volunteer-impacting changes include:

  • Digital Store: The CFA Digital Store is an online ordering platform for volunteers to self-purchase a wide range of uniforms, apparel, merchandise, clothing and equipment. The Digital Store will also incorporate the ordering process of Structural PPC with the necessary delegations and operational approvals programmed for each volunteer.
  • Standardised Returns: New and consistent Returns Guidelines will be implemented, making returns simpler and streamlined for all CFA members.
  • WorkZone Maintenance App: Project SAPPhire will introduce a new centralised maintenance request application called Workzone which is accessible via an app on your mobile phone. This will make submitting and tracking maintenance requests for fleet, land and buildings and protective equipment assets easier and more efficient. 

Employee-specific changes include:

  • Procure to Pay: SAP4HANA will introduce an automated three-way matching process for purchases across the organisation.

1. Purchase Requisitions: All purchases, regardless of value, will require a purchase requisition to be created in the new S/4HANA system.

2. Digitised Goods Receipting: All goods and services require prompt receipting in the new system to ensure suppliers are paid.

3. Centralised Invoice Management: all suppliers must send invoices to a central mailbox managed by Accounts Payable.

  • Improved Data Structures and Reporting: New underlying data structures will mean improvements to our ability to intelligently plan, budget, and create reports. This includes revised purchasing groups, cost centres and material groups.
  • Inventory Management: More effective and efficient stock management through real-time analytics, supply and demand planning, process automation, performance monitoring and predictive analysis tools to help us ensure members get what they need, when they need it.

CFA currently relies on various systems and processes to support key business functions across the organisation. Some of these systems create additional administrative work and are difficult to maintain. Project SAPPhire presents a significant step forward by consolidating our systems and information under a unified, cloud-based platform. This transition will not only simplify operations but also provide CFA with regular updates and high-quality support materials.
