New enhancements to the Volunteer Recruitment Hub
The Volunteer Recruitment Hub has recently undergone significant improvements.
These enhancements have been informed by recent feedback and ongoing user needs analysis.
Key enhancements as follows:
- Editable fields for registration form: Districts can now edit specific applicant details on registration forms themselves until [Reg Review] Status instead of requiring manual adjustments by support staff.
- Retriggering emails for applications: Districts can now retrigger emails to applicants at [Recommended] and [Awaiting Consent] status. The system will continue to send automatic updates.
- Reissue Fit2work check: Administrators can now reissue Fit2work checks directly instead of contacting ICT to handle them, speeding up the process.
- Email updates to brigades: [Brigade Recruitment] role within the brigades is now notified of new EOIs. If a member other than Captain or Secretary undertakes brigade recruitment, please ensure they are nominated to the [Brigade Recruitment] role in RMS.
- VRH dashboard enhancements: Brigades and Districts can now apply new filters such as [Date Type] and [Application Groups] to filter applications as per own requirements.
- Archiving of old applications: The system will now archive applications automatically that have not been updated in the past 12 months, eliminating the need for administrators to manually archive old or inactive applications. Applicants receive an email notification seven days prior to the application being archived.
- WWCC for transferring members: Applicants who submit a request to transfer brigade, now see their WWCC details pre-populated during registration if the details already exist in RMS.
- Medical assessment flexibility: Health Surveillance and Administrators now have the flexibility to flag 'Medical assessment not required' at [Medical Request] status, allowing for quicker decisions.
- Assignment field update: The 'Assigned to' field is now mapped to a role instead of individual assignment and is dynamic with status changes outlining who is required to action the step within the application.
If you have questions about any of these enhancements, please email the Volunteer Recruitment team: volrecruithub@cfa.vic.gov.au.
